1.1.         We are UKLFI Limited (we, us, our, or UKLFI) and we own and operate this website (“Site”).

1.2.         UKLFI is incorporated in England and Wales with company number 07396781.  Its registered office is at Ludgate Hous, 107-111 Fleet Street, London, EC4A 2AF.

1.3.         For the purpose of the Data Protection Act 1998, the data controller UKLFI Limited. UKLFI is registered under Act under number Z3621300.

2.            This Policy

2.1.         We are committed to protecting and respecting your privacy. We ask that you read this privacy policy carefully as it contains information about what to expect when UKLFI collects personal information about you and how UKLFI will use your personal data.

3.            The information we collect about you

3.1.         We may collect and process the following data about you.

3.1.1.     Information that you provide to UKLFI through your membership of UKLFI or by filling in forms on the Site.  This includes information provided at the time of applying for membership of UKLFI and any information subsequently provided.

3.1.2.     If you contact us, we may keep a record of that correspondence.

3.1.3.     We may also ask you to complete surveys that we use for research purposes, although you do not have to respond to them.

3.1.4.     Details of activities you undertake while using the Site or information or material that you post or upload to the Site.

3.1.5.     Details of your visits to the Site including, but not limited to, traffic data, location data, weblogs and other communication data, whether this is required for our own purposes and the resources that you access.

3.1.6.     Information that you provide to us for the purposes of paying annual subscription fees or for the attendance of events including payment details.

3.2.         We may receive information about you from other sources (such as your (or your organisation’s) website or other members of UKLFI) which we will add to the information which we already hold about you in order to help us.

3.3.         We may collect information about your computer, including where available your IP address, operating system and browser type, for system administration and Site monitoring. This is statistical data about our visitors’ browsing actions and patterns, and does not identify any individual.

4.            How we will use the information about you

4.1.         We use information held about you in the following ways:

4.1.1.     to provide you with news and other information relevant to our activities, events and related matters which we consider may be of interest to you;

4.1.2.     to decide (for the purpose of the Company’s objects) whether or not to invite you to advise or represent us or third parties, or to manage any of our projects or campaigns;

4.1.3.     to ensure that content from the Site is presented in the most effective manner for you and for your computer.

4.2.         Emails we send you will always give you the chance to opt out of receiving further emails.

4.3.         We may also use aggregate information and statistics for the purposes of monitoring Site usage in order to help us to develop the Site and our services. These statistics will not include information that can be used to identify you.

5.            Disclosure of your information

5.1.         We may disclose your personal information to the person who introduced you to UKLFI, or to our officers, members and supporters, so far as may be necessary to confirm (a) that you are a bona fide supporter of our aims or (b) any statements made in your application.

5.2.         We may disclose your personal information to third parties if we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or where necessary to protect the rights or interests of UKLFI or their respective officers or members.

5.3.         We may use carefully selected data processors to process information on our behalf, such as an email service to email newsletters to our members. Third parties to which we transfer your information are only authorised to use that information to fulfil their contractual obligations to us and will not be permitted to use it for any other purpose. We retain full responsibility for how your personal information may be used by our agents.

5.4.         Save as above, we will neither sell your personal information, nor (save with your consent) transfer or otherwise disclose it, to any third party.

6.            Our use of cookies

6.1          The Site uses cookies to distinguish you from other visitors to the Site. This helps us to provide you with a good experience when you browse the Site and also allows us to improve the Site.   Cookies are also used on the Site to assist in site analytics. These can help us improve the Site and ensure it is performing correctly for you. You can change your personal settings in your browser to manage your Cookies and delete your Cookies as you choose.

7.            Information security

7.1          Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to the Site, any transmission is at your own risk.  Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

8.1.        The Site contains links to other websites. This privacy policy only applies to this Site so if you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies.  Please check these policies before you submit any personal data to these websites.

9.            Access to your information

9.1.         You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, please send an email to info@uklfi.com or send a letter to our registered office.  Any access request may be subject to a fee of £10.

9.2.         We want to ensure that your personal information is accurate and up to date. If any of the information that you have provided to UKLFI changes, for example if you change your email address, please let us know the correct details by sending an email to info@uklfi.com or by sending a letter to our registered office.

10.1.      By submitting your personal information you consent to the use of that information as set out in this policy.

11.1.      We keep our privacy policy under regular review. If we change our privacy policy we will post the changes on this page. This privacy policy was last updated on 09 January 2020.
